1. Agreement to these terms
These Terms of Service ("Terms") govern your use of the PaperPilot browser extension, web app, and deadline tracker, together with the website at getpaperpilot.com (collectively, the "Service"). The Service is provided by PaperPilot ("PaperPilot", "we", "us"). By installing, accessing, or using the Service, you agree to these Terms and to our Privacy Policy. If you do not agree, please do not use the Service.
2. The Service
PaperPilot helps researchers track academic conference deadlines, manage research projects on kanban boards and calendars, and find and cite papers inside Overleaf. The deadline information and conference rankings are aggregated from public sources and provided for convenience only. We do not guarantee that any deadline, date, ranking, or other information is accurate, complete, or current — always confirm critical dates with the official conference call for papers before relying on them.
3. Eligibility
The Service is intended for researchers and other adults. You must be at least 13 years old (or 16 where required by local law) and able to form a binding contract to use the Service. By using it, you represent that you meet these requirements.
4. Accounts
You can use most of PaperPilot without an account. Creating an account is optional and is used only to sync your data across devices. If you create one:
- You sign in with a one-time code sent to your email — keep access to that email account secure. You are responsible for activity that occurs under your account.
- You agree to provide accurate information and to keep it up to date.
- Accounts are for individual use; do not share an account or impersonate anyone.
- You may delete your account and all synced data at any time from the signed-in menu, or by emailing hello@getpaperpilot.com.
5. Acceptable use
When using the Service, you agree not to:
- Use it for any unlawful purpose or in violation of these Terms or any applicable law;
- Attempt to gain unauthorized access to the Service, other users' accounts, or our systems;
- Interfere with, disrupt, or place an unreasonable load on the Service or our APIs, or abuse, scrape, or overload the deadline data or citation-search endpoints;
- Reverse-engineer, decompile, or attempt to extract source code except to the extent this restriction is prohibited by law;
- Resell, sublicense, or commercially exploit the Service without our written permission;
- Upload or transmit malware, or content that is illegal, infringing, or harmful.
6. Your content and data
To operate the Service, you grant PaperPilot a worldwide, non-exclusive, royalty-free licence to host, store, process, and transmit Your Content solely to: (a) provide and maintain the Service to you; (b) fix bugs and improve performance of the Service; and (c) generate aggregated, anonymized, non-personally-identifiable analytics. We will not use Your Content to train machine-learning models, share it with unaffiliated third parties, or use it for any purpose beyond operating the Service without your explicit prior written consent.
7. Intellectual property
The Service, including the PaperPilot name, logo, trademarks, trade dress, software (including source code, object code, and algorithms), user interface design, graphics, animations, original written content, and the selection, arrangement, and presentation of conference data, is owned by or licensed to PaperPilot and protected by applicable intellectual property laws; no rights are granted except as expressly stated here. Subject to your compliance with these Terms, we grant you a limited, personal, non-exclusive, non-transferable, non-sublicensable, revocable licence to use the Service solely for your own non-commercial research and academic work, which does not permit copying, modifying, distributing, sublicensing, or commercially exploiting any part of the Service. Any Feedback you submit may be used by PaperPilot freely and without compensation. Conference names, logos, rankings, and data belong to their respective owners and are referenced for identification purposes only, without implying affiliation or endorsement. Certain components may be governed by open-source licences, which take precedence over this section to the extent of any conflict. Any use beyond the scope of this licence is a material breach of these Terms and PaperPilot reserves all legal remedies.
8. Third-party services
The Service integrates with and links to third parties — including Overleaf, Semantic Scholar, Supabase, Resend, Cloudflare, and Vercel — each governed by its own terms and privacy policy. We are not responsible for third-party services, their content, or their availability, and your use of them is at your own risk.
9. Free service; changes and availability
PaperPilot is currently provided free of charge, with no payment required and no trial or subscription. We may add, change, suspend, or discontinue any part of the Service (including features, conference data, and the account/sync functionality) at any time, with or without notice. We are not liable to you for any modification, suspension, or discontinuation of the Service.
10. Disclaimers
THE SERVICE IS PROVIDED "AS IS" AND "AS AVAILABLE", WITHOUT WARRANTIES OF ANY KIND, WHETHER EXPRESS, IMPLIED, OR STATUTORY, INCLUDING IMPLIED WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, AND NON-INFRINGEMENT. We do not warrant that the Service will be uninterrupted, error-free, or secure, or that any deadline or other information is accurate or current. The Service is a convenience tool and is not a substitute for the official sources for conference deadlines and requirements.
11. Limitation of liability
To the maximum extent permitted by law, PaperPilot will not be liable for any indirect, incidental, special, consequential, or punitive damages, or for any loss of data, profits, opportunities, or — without limitation — any missed deadline or submission, arising out of or relating to your use of (or inability to use) the Service. To the extent any liability cannot be excluded, our total aggregate liability is limited to the amount you paid us for the Service in the 1 month before the claim, which for a free service is zero (₹0). Nothing in these Terms limits any liability in case of fraud, wilful misconduct, gross negligence, breach of applicable law or any other liability which cannot be limited by law.
12. Indemnification
You agree to indemnify and hold PaperPilot — and its developers, license holders, operators, contributors, and service providers — harmless from any claims, damages, liabilities, and expenses (including reasonable legal fees) arising out of your misuse of the Service, your violation of these Terms, or your violation of any law or the rights of a third party.
13. Termination
We will use commercially reasonable efforts to provide at least 30 days' advance notice before discontinuing the Service or any material feature. In the event of discontinuation, we will provide signed-in users with an opportunity to export their synced data for a period of at least 30 days following such notice. Emergency suspension for security or legal reasons may occur without notice, but we will notify affected users as soon as reasonably practicable thereafter.
14. Changes to these terms
We may update these Terms from time to time. When we do, we will revise the "Last updated" date above, and for material changes we may provide additional notice. Your continued use of the Service after changes take effect constitutes acceptance of the updated Terms.
15. Miscellaneous
These Terms, together with our Privacy Policy, are the entire agreement between you and PaperPilot regarding the Service and supersede any prior agreements on it. If any provision is held unenforceable, the remaining provisions stay in full effect and the unenforceable provision will be applied to the maximum extent permitted by law. Our failure to enforce any right or provision is not a waiver of it. You may not assign or transfer these Terms without our prior written consent; we may assign or transfer them, including in connection with a merger, acquisition, reorganization, or sale of assets, or to an affiliate. Nothing in these Terms creates any agency, partnership, or joint venture between you and PaperPilot.
16. Governing law
These Terms are governed by and construed in accordance with the laws of India, without regard to its conflict-of-laws rules. Subject to any mandatory consumer-protection rights you may have where you live, you agree that the courts located in New Delhi, India will have exclusive jurisdiction over any dispute arising out of or relating to these Terms or the Service.
